Exhibitor Move-Out Bulletin

Please take every precaution to guard your merchandise and property from theft. Also, you should watch and take care of any personal possessions such as handbags, laptop cases, iPhones, iPads, etc.  Do not leave your goods unattended. Security service will be maintained in the exposition area from the move-in period until after the close of the exhibition.  However, exhibitors are reminded that they are responsible for the protection of their own product and exhibit materials.

No display material, in whole or in part, may be removed from the exhibit area prior to the close of the show at 4:00 pm on Thursday, November 21st. Full-time employees of the exhibiting companies may dismantle their own exhibits without assistance from the local union. As soon as the exhibit floor is cleared of attendees, Freeman will begin returning empty crates and containers to the exhibit areas. PLEASE KEEP ALL AISLES CLEAR as blocking the aisles will delay your move-out.

Move Out Hours

Thursday, November 21st      4:00 PM – 9:00 PM

Friday, November 22nd          8:00 AM – 2:00 PM

*Please have carriers check-in by 7:00 PM on Thursday, November 21, 2024 if you are planning on moving out that evening.

All outbound carriers must check-in at the Service Yard no later than 10:00am on Friday, November 22nd

All exhibitor materials must be removed from the facility by 2:00pm on Friday, November 22nd.  Excessive booth materials or literature left in the booth at the end of the published move-out that is not labeled for an outbound shipment will be considered abandoned and deemed as trash. The exhibitor will be charged for the removal and disposal of these items.

Move-out of exhibit freight by POV’s must be through the loading docks, freight elevators and freight doors of the venue’s Service Yard Entrance on Red River Street. Exhibitors wishing to move out their own materials will be provided a space in the dock area to load their vehicles. Exhibitors will be allowed to perform their own material handling provided they do not use any material handling equipment (forklifts, flatbeds, dollies, pallet jacks, etc.) or other motorized/mechanical equipment.

Exhibitors will be allowed to hand carry one item, one time, out of the facility through the exterior front doors IF it meets hand-carry criteria. Hand carried freight is defined as one item that can be easily carried by an individual exhibitor, without the need for dollies, pushcarts or other mechanized equipment.  Nothing may be “wheeled“ through the lobbies – Rolling exhibit cases are NOT considered hand-carry items. No parking is allowed at the facility entrances. The use of passenger elevators and escalators for movement of freight is not allowed.

Any excessive trash which consists of display materials, carpet, padding, crates and/or pallets will be disposed of and charged both a handling fee and disposal fee during move-in. Excessive booth materials or literature left in the booth at the end of the published exhibitor move-out that is not labeled for an outbound shipment will be considered abandoned and deemed as trash. The exhibitor will be charged for the removal and disposal of these items. Charges may include installation & dismantle labor, forklift labor and/or dumpster fee.

Outbound Bills of Lading must be competed and turned in at the Freeman Service Desk in Hall 5 – Do not leave in your booth. Completed Bills of Lading will be accepted at the Freeman freight desk only after your exhibit material is packed and ready to ship. Freeman will not accept Bill of Lading forms prior to the official show close at 4:00 pm on Thursday.

For outbound shipments, all drivers are placed in line for loading on a first-come, first-serve basis, provided the exhibitor is completely packed and a Bill of Lading has been turned in to the Freeman Service Desk. A Driver whose company’s Bill of Lading has not been turned in will be placed in a holding queue until the booth is packed and the Bill of Lading is turned in. Should your carrier fail to check in by the designated time, Freeman reserves the right to re-route shipment via the official show carrier as necessary, at the exhibitor’s expense.
